IIT Roorkee Alumni Association — Noida Chapter

This Privacy Policy explains how the Noida Chapter website (“we”, “our”, “the Chapter”) collects, uses, stores, and protects information about members and visitors. It reflects the chapter’s Rules of Association and responsible alumni-network data practices.
By using this website, claiming membership, or completing a profile, you acknowledge this policy.
1. Who we are
This platform is operated for the IIT Roorkee Alumni Association — Noida Chapter to support membership verification, directory services, events, mentoring, success stories, a members-only professional photo gallery, and — importantly — collecting member and family details so we can prepare beautiful wishes for birthdays and anniversaries, strengthen family relationships, and help the community grow together across batches.
2. Information we collect
2.1 Membership roster
Data maintained by the chapter executive team (for example via Google Sheets / membership list), which may include name, membership type, email, mobile, degree, discipline, year of passing, address, and SPOC details.
2.2 Account and profile
When you verify with a one-time passcode (OTP) and complete your profile, we may store:
- Name, email, mobile, city, address
- Academic details (degree, discipline, year of passing)
- Professional details (company, designation, interest area, LinkedIn URL, bio)
- Professional portrait photo you upload
- Profile completeness status and account role (member / executive / admin)
2.3 Family details (optional)
If you choose to share them for chapter family programmes and wishing cards:
- Wedding anniversary
- Spouse name, date of birth, occupation, education
- Children’s names, relation (son/daughter), dates of birth, education, and notes
Family details are intended for chapter / member use, not for public guest browsing.
2.4 LinkedIn-assisted profile data
If you import or connect LinkedIn, we may receive limited profile information you authorise (for example name, photo, headline-derived company/designation, or text you paste). We use this only to help prefill your alumni profile. You remain responsible for reviewing and saving accurate details.
2.5 OTP and security logs
Destination (email/mobile), channel, expiry, and attempt counts — used only for verification and abuse prevention.
2.6 Contributions
Success stories, gallery photos, captions, and related moderation status when you submit them.
2.7 Technical data
Standard server logs (for example IP address, browser type, timestamps) needed to operate and secure the site.
We do not intentionally collect payment card data on this site unless a future feature explicitly states otherwise.
3. How we use information
- Verify that you appear on the chapter membership roster before granting member access
- Maintain a searchable member directory (sensitive contact fields gated to signed-in members)
- Operate the members-only professional photo gallery
- Publish moderated success stories and chapter event information
- Prepare beautiful birthday and anniversary wishes / wishing cards for members’ families when those dates have been shared
- Strengthen family relationships within the Roorkee circle through thoughtful chapter greetings
- Help the Noida Chapter community grow closer across batches and generations
- Contact you about chapter activities, mentoring, and gatherings when appropriate
- Secure accounts, prevent fraud, and support executive administration
4. Visibility and sharing

- The membership roster may be shared among the executive team for operational updates.
- We do not sell member data.
- We do not publish children’s full profiles to the public website.
5. Photos and consent
Professional portraits and gallery images are an exclusive membership benefit. Full gallery access is for verified members. By uploading a portrait or gallery image, you consent to display among logged-in members and to executive moderation before publication.
6. Children’s information
Birthdays and profiles for sons and daughters are provided by the parent/guardian member. We use them to prepare beautiful wishing cards, celebrate families with care, strengthen relationships in the Roorkee circle, and grow community warmth across generations. Please share only what you are comfortable the executive team using for greetings and family programmes. Do not submit sensitive medical or unrelated personal data about minors.
7. Retention
- OTP codes and challenges are kept briefly for security and then expire
- Profile, family, and roster-linked records remain while you are a chapter member, or until removal/correction is requested through the executive team
- Moderated stories and photos follow chapter publishing practice
8. Security
We use signed session cookies, hashed OTP codes, and role-based access for administrative tools. No method of transmission or storage is perfectly secure; please protect your devices and inboxes.
9. Your choices
- Update profile and family details from your account dashboard
- Choose not to provide optional family or LinkedIn data
- Request correction or deletion of inaccurate personal data by contacting the chapter executive team
- Sign out to end your session on a shared device
10. Links to other sites
LinkedIn and other third-party sites have their own privacy policies. This policy covers only the Noida Chapter website.
11. Changes
We may update this Privacy Policy as features evolve (for example directory, gallery, or wishing-card tools). The effective date above will be revised when material changes are published on this page.
